Permit Management and Efficiency
We have overhauled the permit system to make it more flexible and easier to navigate for all users. These updates focus on reducing administrative friction and providing better data control:
Permit Editing: Flexibility is now a core feature. You now have the ability to edit permits after they have been created. This allows users to correct typos or update visitor information without needing to cancel and restart the application process.
Plate Number Removal: To simplify the application process and reduce the amount of data entry required, the Plate Number field has been removed from permits where it is no longer strictly necessary. This allows for a much faster submission flow for both residents and guests.
Historical Search: Tracking past activity is now seamless. You can now search through permits you have previously scanned. This search functionality is essential for security audits and for quickly finding records of past visitors without manual scrolling.
Improved Sorting and Filtering: Find what you need in seconds. We have upgraded our sorting logic and added advanced filtering options. You can now organize your permit view by date, status, or type, ensuring the most relevant information is always at the top of your list.
Enhanced Visibility: Important details are no longer hidden. Remarks and attachments on permits are now more prominently displayed. This ensures that all critical information, such as special instructions or uploaded documents, is visible at a glance to both users and staff.
Operational Streamlining
Efficiency at the entry point is vital for a smooth community experience. We have implemented the following automated features:
Instant QR Check-In: We have removed unnecessary steps to speed up the entry process. Upon scanning a valid QR code, the system will now automatically check the visitor or permit in. This eliminates the need for manual confirmation clicks, reducing wait times at the gate.
Simplified Visitor Flow: To reduce confusion and ensure consistent data, the Regular Visitor option has been removed. This move standardizes the check-in process for everyone, ensuring that all visitors are tracked with the same level of security and accuracy.
Payment Snapshots: Speed up financial approvals significantly. Users can now send proof of payment directly through the app using the new Snapshot feature. By uploading a photo of a receipt or transfer confirmation, the admin team can verify payments and activate permits faster than ever before.
Safety and Communication
Communication is the backbone of community management. These tools improve security and staff coordination:
SOS Button Notice: Safety is our top priority. A dedicated SOS button is now available for emergency situations. This feature ensures that an immediate notification is sent to the relevant authorities or security teams, providing a direct line for help when it is needed most.
Admin to Receptionist Transparency: To improve coordination and service quality, receptionists can now see Admin Remarks directly on their interface. This ensures that the front-desk staff has the full context and any special instructions provided by the administration for every visitor.
On-Call Identification: For better clarity during active sessions, the user name is now prominently displayed on the On-Call page. This helps in identifying the personnel currently handling tasks and improves accountability across the team.
Circular Search for Mobile and Tablet: Stay informed without the hassle of scrolling through old notices. A new search bar has been added to the Circulars section for both mobile and tablet devices, allowing users to find specific announcements or community updates instantly.
